POSITION TITLE:                                  Assistant Property Manager II (Orlando)

                                                                        Reports to Senior Property Manager


JOB SUMMARY:                                       Assists the Property Managers with ensuring the overall operation and financial success of a Class A, high rise building portfolio in Orlando, Florida, in accordance with company policies, procedures and standards.  Represents Highwoods Properties in a professional manner to customers, vendors and the general public.   

WORK PERFORMED:                      

  • Receive customer requests/concerns and coordinate a timely response
  • Work with vendors (ex. landscaping, janitorial, etc.) under the guidance of an assigned Property Manager
  • Prepare service contracts and maintain contract summaries
  • Assist in the development of operating and capital budgets
  • Review and code invoices and forward to assigned Property Manager for final approval
  • Prepare Purchase Orders (PO) as required
  • Follow up with customers for non-payment of miscellaneous charges
  • Assist with the maintenance of Certificate of Insurance (COI) records (receive, route, log)
  • Receive and process fitness center applications
  • Receive and process Building Access Card applications and manage access accounts
  • Prepare electric meter and miscellaneous service invoices for our customers
  • Prepare and send customer monthly billings for overtime HVAC, sub-metered electricity use and miscellaneous charges outside the Lease
  • Prepare various monthly reports & identify budget variances for Property Manager’s approval
  • Assist Property Manager in managing customer move-ins and move-outs
  • Coordinate proofs, order & installation of suite and directory signage
  • Assist Property Manager in managing capital improvement projects
  • May participate in conducting quarterly property inspections and monthly janitorial inspections
  • Update current Vendor lists for maintenance
  • Maintain customer contact lists and create Handbooks/Welcome Packages
  • Manage BUR process for customer and Highwoods vendors
  • Coordinate annual elevator certificate renewal process & customer safety training events
  • Create correspondence file for new customers and maintain building files
  • Create and distribute memos to customers in a timely manner
  • Other projects may occasionally be assigned by the Property Manager or Senior Director of Asset Management
  • Prepare monthly work order reports for Property Manager
  • Review rent roll updates and coordinate changes with Janitorial vendor
  • Communicate with building engineer & security to address issues onsite

  • Demonstrated leadership/management skills
  • Computer proficiency with Microsoft Office Suite
  • Proven record of providing excellent internal and external customer service
  • Knowledge of basic business practices
  • Present self in professional manner at all times



  • Bachelor’s degree or equivalent combination of education and experience preferred
  • Three or more years of property management experience preferred
  • Proven record of providing excellent internal and external customer service
  • Budgeting/reporting experience helpful



WORK ENVIRONMENT                   This job operates in a professional office environment, as well as throughout a variety of properties.  May be exposed to construction sites and various weather conditions.  This role routinely uses standard office equipment such as computers, phones, photocopiers and filing cabinets.


PHYSICAL DEMANDS                      While performing the duties of this job, the employee is regularly required to talk, hear, see, sit, walk and stand for prolonged periods of time; use hands to finger, handle and feel; and reach with hands and arms.  The employee may occasionally need to climb, balance, bend, stoop and crouch.  Must be able to inspect all areas of the properties, including roof and basement.  The employee may occasionally lift, push or pull up to 25 pounds.  Ability to read, understand and to communicate information and ideas clearly in writing and orally required.
