Parking Operations Coordinator - Highwoods

JOB SUMMARY: Under general direction, coordinate the Division’s paid parking operations. Independently perform parking operations’ duties including the management of monthly, visitor and event parking, the maintenance and troubleshooting of Flash parking equipment and related software, traffic flow support, customer relations and facility maintenance.

WORK PERFORMED:

Garage and Equipment Maintenance, Repair and Upkeep

  • Be thoroughly knowledgeable about the parking revenue control equipment (currently Flash), be able to perform routine equipment maintenance and provide training to Security Officers, Ambassadors and Garage Porters.
  • Support the maintenance, repair and replacement of Flash parking equipment, parking related cameras and all associated system software
  • Investigate complaints concerning malfunctions, coordinate with the Highwoods' Customer Service Parking Operations Center to support general operations’ requests and escalate system issues as needed.
  • Ensure the satisfactory completion of vendor related maintenance and repairs
  • Manage vendors / contractors performing any maintenance in the parking facilities including but not limited to janitorial, security, floor surfacing, etc.
  • Prepares plans and cost estimates for proposed garage capital improvement projects and/or general repairs and maintenance
  • Effectively execute troubleshooting instructions from higher level support
  • Maintain an inventory of parts and supplies related to parking operations
  • Maintain cleanliness and orderliness all parking facilities including Server rooms.
  • Perform regular (at least quarterly) inspections of equipment and parking facilities.
  • Ensure proper PCI compliance checks on all parking equipment including credit card readers
  • Support the Garage Porters and develop project needs and scheduling

Event Parking

  • Manage/coordinate event parking
    • Staff and schedule event personnel
    • Train, and supervise all vendor related personnel including Security/Ambassador/Flagger
    • Coordinate and support event marketing
    • Maintain database of event performance
    • Program equipment for event hours and rates
    • Maintain event data and reconcile with payments received from venues. Send appropriate paperwork and checks to accounting and lockbox respectably.

Monthly/Visitor Parking

  • Assist Parkers / Customer Service Center with high volume traffic management during morning, lunch, evening hours
  • Manage enforcement of parking regulations including Reserve parking
  • Maintain SmartTag inventory and work with customer service on tag number issuance.
  • Prepare validations to Customers when needed for major events.
  • Deliver SmartTags and Validation coupons  to customer
  • Prepare Parking Lease Summaries for changes to existing or new customer leases and provide to SmartPark
  • Assist with the customer training for account set up, validations and account management
  • Program equipment for changes/updates in operation hours, visitor rates etc.

Financial

  • Assist in the preparation and audit of parking operations revenue budgets, monitors expenditures, and implements projects
  • Review and analyze performance reports and maximize income
  • Review A/R and provide collection support
  • Prepare and renew all Business Tax Licenses for both City of Orlando and Orange County
  • Support the preparation and maintenance of the Monthly parking inventory worksheets
  • Maximize revenue opportunities by reviewing competitive pricing to calibrate transient rates
  • Build local relationships for sponsorship opportunities

General

  • Establish positive working relationships with customers, general public visitors, and Highwoods’ staff
  • Attend periodic parking meetings as necessary with Highwoods’ staff
  • Respond to customer questions and concerns
  • Assist with the follow up on damage claims
  • Perform other duties as assigned

HOURS:

  • Monday – Friday – (variable hours based on scheduled events and seasonal traffic fluctuation) 7am – 4pm, 8am-5pm, 9am-6pm
  • Some weekend/holiday events

PHYSICAL SKILLS

  • Ability to sit, stand, walk, kneel, crouch and stoop, read printed materials and a computer screen, communicate in person and over the telephone, lift and carry 65-pound boxes and materials

REQUIREMENTS:

  • Excellent personal / customer service skills
  • Excellent written and oral communication skills
  • Ability to define problems, collect data, establish facts and draw conclusions
  • Ability to prepare oral and/or written reports regarding departmental operations
  • Must be able to work effectively with teams
  • Must be able to work effectively in a fast-paced environment, make quick decisions, multi-task.
  • Strong organizational and administrative skills
  • Must have good communication skills and the ability to communicate clearly with technical and non-technical audiences

WORK ENVIRONMENT

  • Ability to work in a shop and field environment, exposure to outdoors, traffic hazards and inclement weather

EDUCATION/EXPERIENCE:

  • Associate degree preferred, along with at least 3 years of related experience  
  • Experience working with parking management / work order management systems highly desired
  • Accounts receivable and billing experience preferred
  • High competency with Microsoft Word and Excel
  • Experience with Flash parking equipment and PARCs software preferred
